Job Description

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to C-level executives and senior management. In this role, you will serve as a trusted partner, managing complex schedules, coordinating high-level meetings, and handling confidential information with the utmost discretion. You'll be instrumental in ensuring executive productivity and organizational efficiency.

As an Executive Assistant at Client Aid Technologies, you'll work directly with top-tier executives across various industries, gaining valuable exposure to strategic decision-making processes. Key Responsibilities

  • Manage complex executive calendars, scheduling meetings, and coordinating travel arrangements
  • Prepare meeting agendas, take detailed minutes, and follow up on action items
  • Handle confidential correspondence and maintain discretion with sensitive information
  • Coordinate domestic and international travel, including flights, accommodations, and itineraries
  • Prepare executive reports, presentations, and briefing materials
  • Screen and prioritize phone calls, emails, and meeting requests
  • Manage expense reports, invoices, and budget tracking for executive departments
  • Serve as liaison between executives and internal/external stakeholders

Requirements

  • 3+ years of executive assistant or high-level administrative experience
  • Proven experience supporting C-level executives or senior management
  • Exceptional organizational skills and attention to detail
  • Advanced proficiency in Microsoft Office Suite, Google Workspace, and project management tools
  • Excellent written and verbal communication skills
  • Ability to handle multiple priorities and work under tight deadlines
  • Strong discretion and ability to maintain confidentiality
  • Bachelor's degree preferred or equivalent professional experience
